You speak or type. Apprentice can bring relevant saved context into the task.
The AI providers used for the task.
Your request and relevant context are sent for processing. Tasks that need visual context may also send screenshots.
Saved context you can inspect.
People, projects, memories and working conventions are stored locally. You can review, correct and remove entries.
Relevant context can travel.
When saved information helps answer a request, relevant parts may be included in the content sent to an AI provider.
You choose the connections.
Connect accounts in Apps and manage supported background-reading controls separately.
The connection service and provider.
Requests and responses pass through Apprentice’s connection service and its integration provider to the app you connected.
Speak, or start a transcript.
Your Mac captures the audio for the feature you start. A voice profile, where enabled, is stored locally.
Speech and transcription services.
Apple speech recognition may use Apple’s servers. Spoken replies may use a voice provider. Live call audio goes to Deepgram.
App activity and request text.
The current app records usage events, diagnostic information and the text of requests you send.
PostHog.
Usage and diagnostic information help investigate failures and misunderstandings. Request text can contain personal information.
An explanation of data flow. These choices do not change your app settings.
Access starts with your permissions
Apprentice works through macOS permissions, app connections and the accounts you configure.
Review macOS permissions in System Settings → Privacy & Security. Review app connections inside Apprentice.
These permissions can provide broad access. They are not a separate approval for every file or action.
Local memory. External processing when needed.
Apprentice stores its working memory and learned conventions on your Mac.
When it responds or performs a task, relevant information can be sent to the AI providers and services involved. That information may include your request, selected context, document content, screenshots or transcript excerpts.
Local storage does not mean every part of the task happens locally.
Your provider’s terms, settings and privacy policy also apply.
See and correct what it remembers
Saved context should be something you can inspect.
Explore people, projects, memories and working conventions in Apprentice. Correct outdated information and remove entries you no longer want retained.
Deleting a memory and deleting its original source are separate actions. Disconnecting an app also does not automatically remove information already saved from it.
Decide what runs in the background
Supported app connections have their own background-reading controls.
Routines have their own instructions and schedules. You can review their runs, change them or pause them.
You can also manage meeting reminders, connection suggestions and other available preferences separately.
Voice and meetings
Voice requests and meeting transcription use different processing paths.
Apple’s speech recognition may process spoken requests on Apple’s servers. Spoken replies may use a voice service. Live meeting transcription streams audio to Deepgram.
If your build offers voice enrolment, the profile used to recognise your voice is stored locally. Always-listening availability depends on the release and your settings.
Start transcription deliberately, check its status, and stop it when you are finished.
Analytics, explained plainly
The current app collects usage events and crash information through PostHog. Analytics currently includes the text of requests you send to Apprentice and can be associated with your account.
This helps diagnose failures and misunderstandings. It is more than anonymous usage counts.

Stay involved in consequential actions
Apprentice can change files and work in connected services. Check recipients, destinations, calculations and important changes before relying on the result.
Do not assume that every consequential action has an additional confirmation step. Stopping a task does not undo actions already completed.
