Notice

Apprentice is an assistant that runs on your own computer. It can see your screen, hear you, and act in your apps when you ask it to, so we think you should know exactly what leaves your machine and what does not. This page covers this website, your Apprentice account, and the app itself.

The short version: your memory, rules and files stay on your computer. Your model login stays on your computer. We hold your email and an account id so we know it is you, and we collect analytics about how the app is used. We do not sell your data and we do not use it for advertising. Nothing personal is collected before you choose to give it: you decide to join the waitlist, to create an account, to grant each macOS permission, and to connect each app.

Your consent

Some processing is needed for Apprentice to work at all, and some is optional.

• Needed: your account (so you can sign in), the sign-in code we email you, and our connection service (so the apps you connect stay attached to you). Using Apprentice means agreeing to these.
• Optional: product update emails, website analytics, and app analytics. You can refuse or stop each of these, and Apprentice keeps working. See Opting out below.

macOS asks you separately before Apprentice can use the microphone, see your screen, control your computer, or read your calendar. You can withdraw any of those in System Settings at any time.

What we collect and how we use it

On this website

• Your email address, if you leave it to hear when Apprentice reaches your platform. We use it to send you that news and occasional product updates.
• Basic usage analytics: which pages you view and which buttons you click, so we can make the site better. We use a small amount of local storage and a cookie to count visits without double counting. No advertising trackers run on this site.

Your Apprentice account

You sign in with a code we email you, or with Google. There is no password. We keep:

• Your email address, and which way you signed in.
• An account id, and the id your connected apps are filed under, so your connections follow you to a new computer or a reinstall.
• Sign-in records: when you signed in and from which network address, as any sign-in service keeps.

We use these to sign you in, to keep your connected apps attached to you, and during the beta to check that your email has been invited.

If you sign in with Google

We receive your name, your email address and your profile picture from Google, and nothing else. We use them only to sign you in and to show you which account you are using. They are stored with our authentication provider alongside your account. We do not sell them, share them with anyone else, use them for advertising, or use them to train models. Signing in with Google does not give Apprentice access to your Gmail, Calendar or Drive; connecting those is a separate step you choose inside the app. You can remove Apprentice's access at any time in your Google Account under Security.

Inside the app

What stays on your computer: your memory, your rules and learned conventions, your files, and your model login or key. Your account does not upload any of them.

What leaves your computer, and where it goes:

• Your requests, and screenshots when a task needs to see your screen, go to the model you connected, on your own account with that provider (for example Anthropic, or OpenAI). Their terms and privacy policy apply to what you send them. We do not receive it.
• Your voice. What you say is turned into text using Apple's speech recognition, which may process the audio on Apple's servers. Apprentice's spoken replies are turned into speech by a voice service: by default Microsoft's read-aloud service, which receives the text of the reply, or Apple's built-in voice, or another voice service if you add your own key for one.
• Apps you connect, such as Gmail or Calendar, are reached through our connection service and its integration provider. What you ask Apprentice to read or do in those apps passes through them on the way. Your account id tells that service which connections are yours. If you turn on background reading for an app, new items from that app are delivered the same way.
• Live call notes, if you use them, stream the call audio to a transcription service while the call runs.
• Messages over Telegram, if you set that up, travel through Telegram.
• Updates. The app checks a feed hosted on GitHub for new versions and downloads them. GitHub sees your network address, as any website does, and nothing about you from us.
• App analytics and crash reports: when the app opens, which version it is, which features are used, errors and crashes. This currently includes the text of what you say to Apprentice, so we can see where it misunderstands people. These are tied to your account. We do not collect your files, your rules, your memory, your voice audio, your screen, or what Apprentice reads inside your connected apps.
• An access check. The app asks our server whether this install and account may run, which lets us switch off a build that has a serious problem. It carries an install id and your account id.

The services we use

These companies process data for us, each only for the job named:

• Supabase: accounts and sign-in. Our project is hosted in Singapore.
• Google: sign-in, only if you choose it.
• Loops: sending sign-in codes and product update emails.
• PostHog: website and app analytics, hosted in the United States.
• Cloudflare: this website, the app download, and our connection service.
• Composio: the integrations behind the apps you connect.
• Deepgram: live call transcription, only if you use it.
• GitHub: hosting the update feed the app checks.

Your model provider, Apple's speech recognition and the voice service that speaks replies are reached directly from your computer. We do not sell your data. We do not share it for advertising. We share it only with the services above, or if the law requires us to.

Retention

• Your account is kept while you use Apprentice. Ask us to delete it and we will remove it, the record of which connections were yours, and your analytics record within 30 days, unless the law requires us to keep something longer.
• Sign-in codes stop working after ten minutes. A sign-in on a computer ends when you sign out.
• Items read in the background from a connected app wait on our connection service only until your app collects them, and are cleared then.
• Waitlist emails are kept until you unsubscribe or ask us to remove you.
• Everything on your computer is yours to keep or delete. Removing the app's data folder removes it.

Your rights

Wherever you live, you can ask us to:

• tell you what we hold about you, and give you a copy;
• correct it;
• delete it;
• stop using it for analytics or for product emails;
• hand it to you in a form you can take elsewhere.

If you are in the European Economic Area, the United Kingdom or a place with similar law, these are your rights under that law. We rely on your agreement to use Apprentice for the account and the connection service, on your consent for product emails, and on our legitimate interest in keeping the product working for analytics and crash reports, which you can object to. Some of the services above are outside your country, including in the United States and Singapore. You can also complain to your local data protection authority. We will answer a request within 30 days.

Opting out

• Product emails: use the unsubscribe link in any message. Sign-in codes are not marketing and are sent only when someone asks to sign in with your address.
• App analytics: write to us and we will turn analytics off for your account and delete what we hold.
• Google: remove Apprentice in your Google Account under Security, and sign in with an emailed code.
• A connected app: disconnect it in the app's settings. Background reading has its own switch for each app.
• Everything: sign out in the app's settings, and ask us to delete your account.

Security

Everything that travels between your computer, our services and the companies above is encrypted in transit. There is no password to steal: you sign in with a short-lived code or with Google. The sign-in kept on your computer is stored in a file only your user account can read, and it is kept apart from your model login. The secret keys to our services never ship inside the app. The tables behind accounts are closed to everything except our own connection service. No system is perfectly secure, so if you think your account has been used by someone else, tell us and we will end its sign-ins and help you secure it.

Children

Apprentice is not meant for children under 16, and we do not knowingly collect their data. If you believe a child has made an account, tell us and we will remove it.

Changes to this policy

If we change what we collect or how we use it in a way that matters, we will update this page and email everyone with an account at least 14 days before the change takes effect. The date at the top always shows the latest version.
